Use Case

Automate Employee Onboarding and Offboarding

Tie employee onboarding and offboarding to HR data, so new starters can work on day one and leavers lose access the moment they go.

Sound Familiar?

Why New Starters Wait and Leavers Linger

A new engineer spends their first three days waiting for a laptop login and email access. Meanwhile, someone who left last month can still sign in to the CRM from home. Employee onboarding and offboarding both depend on the same thing: access that follows HR changes automatically.

New starters can’t work on day one

Accounts, licenses and application access are set up by hand, so they arrive in pieces over the first week. A new hire sits waiting, their manager loses time chasing IT, and the first impression of the company suffers.

Signs you’ll notice

  • New starters waiting days for email access
  • Access requested only after people arrive
  • Licenses assigned one application at a time

Leavers keep access after they go

If HR’s message reaches IT late, or not at all, accounts stay active long after someone’s last day. A former employee can still sign in from home, and that risk sits there quietly until someone happens to notice.

Signs you’ll notice

  • Accounts still enabled for past employees
  • Leaver notices arriving after the last day
  • Cloud apps missed when accounts are disabled

Every request is a ticket

Each piece of access needs its own request and approval, which slows everything down. The service desk drowns in routine tickets, and managers spend their first weeks with a new team member filling in forms.

Signs you’ll notice

  • Separate tickets for every application
  • Approvals chased by email for standard access
  • Service desk time lost to routine setup

Contractors fall through the gaps

Temporary staff and contractors often aren’t in the HR system, so nobody knows when their access should end. Their accounts outlive their contracts, sometimes by months, with nobody responsible for switching them off. Agency workers are the hardest group to track of all.

Signs you’ll notice

  • Contractor accounts with no end date
  • Temporary staff missing from HR records
  • Agency workers sharing a single login

Why Now

When Joiner and Leaver Gaps Get Noticed

A new hire’s first week is wasted An expensive senior hire spends days unable to work. Their manager raises it with leadership.

A former employee logs in An alert shows someone who left weeks ago signing in to a business system. Nobody is quite sure how.

A hiring wave is coming The business plans to hire dozens of people next quarter. The current manual process won’t cope.

What Changes

What’s Different Afterwards

New starters ready on day one

Accounts and standard access are created automatically from HR data before the start date.

How you’ll know: Share of new starters with full access on day one

Leavers lose access immediately

When someone leaves, their accounts are disabled automatically as their employment ends.

How you’ll know: Time from leaving date to account disabled

Role changes update access

Moving teams adds new access and removes old access without separate tickets.

How you’ll know: Leftover access found after internal moves

Far fewer access tickets

Standard access comes with the role, so tickets are only needed for exceptions.

How you’ll know: Access requests raised manually each month

FAQs

Frequently Asked Questions

What happens after the review?

We walk you through what we found on a call. You can act on it with your own team, or ask us to help with the bigger changes. Either way, it’s your decision and there’s no obligation.

What’s the difference between onboarding and provisioning?

Onboarding is the whole process of a new person joining. Provisioning is the part where accounts and access are created. Automating provisioning is what makes employee onboarding and offboarding fast and reliable.

Our HR system is old. Can it still feed identity?

Often, yes. Even if it doesn’t connect directly, a regular export can be enough to drive automation. We look at what your HR system can provide and work from there.

How do we handle contractors and temporary staff?

Give them a clear record with an end date, either in HR or a separate register. Their access then expires automatically on that date, rather than relying on someone remembering to remove it.

What about access that isn’t standard for a role?

Those still go through a request and approval, ideally in a simple catalog. Automating standard access means far fewer requests overall, so the exceptions get handled faster and with less back and forth.

Does this include laptops and other equipment?

The focus here is access to accounts and applications. Device setup can be linked to the same trigger, so a laptop is ready alongside the accounts, and we’ll look at that connection.
