Use Case

Track Software Licenses, Vendors and Renewals

Software license tracking that matches licenses to real use and flags every renewal in time, so you stop paying for seats nobody logs into.

Sound Familiar?

Five Reasons Software Spend Keeps Creeping Up

A renewal invoice arrives for 400 design software seats. Someone checks and finds that 120 of them have not been used in six months, and the notice period ended last week. Software license tracking means knowing what you own, who uses it and when each contract renews, before the invoice lands. Signisys, an IT services company in Noida, helps businesses across Delhi NCR and India build one license register, match it to real use and put every renewal on a calendar.

You Pay for Seats Nobody Uses

The Risk

Licenses stay assigned to leavers or to people who stopped using the software months ago, and each unused seat renews at full price.

How Signisys Helps

  • Compare assigned licenses with sign-in and usage data
  • Remove licenses from leavers as part of the leaver process
  • Move light users to lower plans where the vendor allows it

Renewals Arrive as Surprises

The Risk

Contract dates sit in inboxes across departments, so renewals go through before anyone reviews them and the notice period passes.

How Signisys Helps

  • Record every contract with its renewal and notice dates
  • Send reminders well before each notice period ends
  • Name an owner who reviews each renewal

Nobody Knows If You Are Licensed Correctly

The Risk

Without records of what you bought and what is installed, a vendor audit is the first time anyone checks, and you may be paying for more than you use or using more than you bought.

How Signisys Helps

  • Match purchases with installs and assigned users
  • Keep proof of purchase with each license record
  • Check the largest vendors first

Teams Buy the Same Software Twice

The Risk

Departments buy tools on their own or on company cards without knowing someone else already has licenses for the same product.

How Signisys Helps

  • Find duplicate products and subscriptions across teams
  • Check the register before any new software purchase
  • Bring card-paid software into the register

Why Now

When Software Licensing Gets Expensive

Four moments when not knowing your licenses starts to cost money.

A Vendor Announces a License Audit

You have weeks to show what you use and what you paid for, and the records are incomplete.

A Large Renewal Goes Through at a Higher Price

The notice period passed unnoticed, and the contract runs another term at the new rate.

Finance Asks for Software Savings

Everyone suspects waste, but nobody can show where without weeks of digging.

Two Companies Merge

Two sets of contracts, overlapping products and nobody sure which licenses carry over.

The Outcomes

What Changes with Software License Tracking

Five changes to look for once every license and contract is tracked in one place.

How It All Works Together

How Software License Tracking Fits Together

Purchases and contracts add licenses to the register. Sign-in and usage data show who is using each one, and joiner and leaver steps assign and remove seats. A renewal calendar puts every decision in front of its owner before the notice period ends.

One License Tracking Standard

  • What software is tracked, the fields recorded, who owns each contract and how far ahead renewals are reviewed, agreed with IT, finance and procurement.
  • Reviewed when vendors, contracts or teams change.

Works With What You Have

  • Uses the admin and usage reports your software already provides first.
  • Adds a dedicated license tool only when the number of vendors calls for one.

Security and Governance

  • Register access limited to named people.
  • Leaver licenses removed with leaver access.
  • Changes to contracts and owners logged.

What Is Covered

  • Subscription software, cloud apps and installed software.
  • Contracts held by IT, finance and individual departments.

FAQs

Software License Tracking: Frequently Asked Questions

What is software license tracking?

Software license tracking is keeping a current record of the software you pay for, who uses it and when each contract renews. It covers subscriptions, cloud apps and installed software across every department.

Why do unused licenses build up?

Licenses stay assigned when people leave or stop using a product, and many subscriptions renew automatically at the same seat count. Without a regular check, the gap between seats bought and seats used grows each year.

How do we find unused licenses?

Compare assigned licenses with sign-in and usage data from each product. Seats with no use over a set period, such as 90 days, are candidates to reclaim, cancel or move to a lower plan.

How do we find unused Microsoft 365 licenses?

Microsoft’s usage reports documentation says the admin center reports show who uses a service fully and who barely uses it and might not need a license. The reports are generally available for the last 7, 30, 90 and 180 days and do not include perpetual licenses (bought once, with no subscription).

What should a license register record?

At least the product, vendor, seats bought, seats assigned, cost, contract owner, renewal date and notice period. Proof of purchase and contract terms help in a vendor audit.

How far ahead should renewals be reviewed?

Far enough to decide before the notice period ends, which depends on the contract. A reminder a few weeks before the notice date gives the owner time to check use and negotiate.

How do we prepare for a vendor license audit?

Match what you bought with what is installed and who is assigned, for that vendor first. Keep proof of purchase with each license record, so you can answer the audit from the register.

When is a dedicated license tool worth it?

When you have many vendors, installed software to match against purchases, or a vendor audit coming. For a few subscription vendors, the admin and usage reports you already have can supply much of the data.

How do leavers affect license costs?

A leaver who keeps a license ties up a paid seat until someone removes it. Adding license removal to the leaver checklist, alongside access removal, releases the seat for a new joiner or for removal at renewal. Our Automate Employee Onboarding and Offboarding use case covers the wider process.

How do we stop teams buying the same software twice?

Check the register before any new software purchase, and bring software bought on company cards into the register. Teams can then share existing seats instead of buying new ones.

Does license tracking cover SaaS apps?

Yes. SaaS (software as a service) apps, the cloud subscriptions billed per user, can be a large part of software spend, and many are bought outside IT. Our SaaS guide explains how these subscriptions work.

How is license tracking different from asset tracking?

License tracking covers software, seats and contracts. Asset tracking covers devices. The two link when software is installed on devices. Our Track IT Assets Across Your Organization use case covers the device side.

How does this fit with wider IT cost control?

Software is one part of IT spend. Our Control IT Spending and Assign Cost Ownership use case covers budgets, cost owners and spend reporting across all of IT.

Should cloud infrastructure costs be tracked here too?

Cloud infrastructure, such as servers and storage billed by use, needs its own cost checks. Our Reduce Cloud Costs use case covers that side.

Who should own software renewals?

The business owner who uses the software, supported by IT and finance. A named owner for each contract gives one person the job of checking use and terms before the notice period ends.

How long does license tracking take to set up?

It depends on the number of vendors and contracts and on where the records are kept. The largest contracts and upcoming renewals can go first, with smaller vendors added in stages.

Which platforms do you work with?

We work with Microsoft as a Technology Partner, including Microsoft 365 licensing and usage reports. We also work with the admin and usage reports from the other software you already use.

What happens in the Software License Review, and what does it need?

The Software License Review compares your largest software contracts with sign-in and usage data, and lists the renewals due in the next year with their notice dates. It needs your list of software contracts, read access to admin and usage reports, and recent software invoices. We walk you through the findings on a call.
