Use Case

Track IT Assets Across Your Organization

IT asset tracking with automated discovery and a clear owner for every device, so your register is accurate enough to plan and spend against.

Sound Familiar?

Five Signs Your IT Asset Records Don’t Match Reality

The finance team asks how many company laptops you own before the insurance renewal. The asset spreadsheet gives one number, the device management tool another, and the purchase records a third. Nobody can say which is right. IT asset tracking keeps one current record of every laptop, desktop, phone and tablet: what it is, where it is, who has it and what state it is in. Signisys, an IT services company in Noida, helps businesses across Delhi NCR and India build an asset register kept current from tools they already run, such as device management software that enrolls and controls company devices, and discovery tools that list devices on the network.

The Asset Spreadsheet Is Out of Date

The Risk

A list updated by hand falls behind as soon as devices move, break or change hands, so every count starts with a fresh audit.

How Signisys Helps

  • Feed the register from device management and discovery tools
  • Record serial number, model, user and location for each device
  • Check the register against tool data on a schedule

Leaver Laptops Go Missing

The Risk

Devices of people who leave are not collected or recorded, and some leave the building with company data still on them.

How Signisys Helps

  • Add device return to the leaver checklist
  • Lock or wipe devices that are not returned
  • Record each returned device and its condition

New Devices Are Bought While Spares Sit Idle

The Risk

Returned and spare laptops sit in a cupboard unrecorded, so teams order new ones instead.

How Signisys Helps

  • Log spares and returned devices in the same register
  • Check stock before any new order
  • Show idle devices to the teams that buy

Devices Have No Named Owner

The Risk

Equipment is not linked to a person or team, so nobody is responsible when it goes missing or needs replacing.

How Signisys Helps

  • Link every device to a user or team
  • Update the owner when a device changes hands
  • Name an owner for shared and loan equipment

Unknown Devices Miss Security Updates

The Risk

Equipment that is not in any record may not be updated or protected, because nobody knows it is there.

How Signisys Helps

  • Compare devices on the network with the register
  • Bring unknown devices under management or remove them
  • Flag devices missing security updates

Why Now

When Missing Asset Data Starts to Hurt

Four moments when not knowing what IT you own becomes a real problem.

An Auditor Asks for the Asset Register

They want every device, its owner and its status, and the spreadsheet can’t answer with confidence.

A Leaver’s Laptop Is Not Returned

Nobody notices for months, or knows who now has the company data on it.

A Laptop Refresh Needs a Budget

Leadership asks how many devices are due for replacement, and the answer is a guess.

A Device Is Lost or Stolen

Security asks what was on it and who used it, and the record has nothing current.

The Outcomes

What Changes with IT Asset Tracking

Five changes to look for once every device is tracked in one place.

How It All Works Together

How IT Asset Tracking Fits Together

Purchases add devices to the register. Device management and discovery tools keep each record current, and joiner, leaver and repair steps update the owner and status. Reports show what you have, who has it and what is due for replacement.

One Asset Tracking Standard

  • What is tracked, the fields recorded, who updates the register and how it is checked, agreed with your IT and finance teams.
  • Reviewed when tools, sites or device types change.

  • Uses the inventory in your device management tools first.
  • Adds a dedicated asset tool only when you need contracts, costs and lifecycle in one place.

Security and Governance

  • Register access limited to named people.
  • Changes to owner and status logged.
  • Lost devices locked or wiped through device management.

What Is Covered

  • Laptops, desktops, phones and tablets, company-owned and on loan.
  • Spares, devices in repair and devices waiting for disposal.

FAQs

IT Asset Tracking: Frequently Asked Questions

What is IT asset tracking?

IT asset tracking is keeping a current record of every company device: what it is, where it is, who has it and what state it is in. It covers laptops, desktops, phones and tablets from purchase to disposal.

How is IT asset tracking different from asset management?

Tracking is knowing what you have, where it is and who uses it. Asset management builds on that to cover cost, contracts, warranties, refresh and disposal. Accurate tracking comes first.

What should an asset register record for each device?

At least the model, serial number, user or team, location, status and purchase date. Warranty end date, cost and asset label number help with refresh planning and audits.

Can our device management tool be the asset register?

It can provide much of the data. Microsoft’s Intune documentation describes the read-only inventory it collects from managed devices, including hardware, operating system, network and storage details such as the serial number. Devices that are not enrolled, spares in storage and purchase details still need recording elsewhere.

How current is the data from device management tools?

It depends on the tool and on when devices check in. Microsoft notes that Intune hardware and software inventory refreshes every seven days from the date of enrollment, so register checks should allow for that.

Do we need a dedicated asset management tool?

Not necessarily. Device management and discovery tools can supply much of the data. A dedicated tool helps when you need contracts, costs and lifecycle details for many device types in one place.

How do we keep the register accurate?

Feed it from your tools instead of updating it by hand, and record asset changes as part of joiner, leaver, repair and disposal steps. Check the register against tool data on a schedule.

How do we make sure leavers return their devices?

Add device return to the leaver checklist, with a named person who collects and records each device. If a managed device is not returned, it can be locked or wiped through device management once it connects. Our Automate Employee Onboarding and Offboarding use case covers the wider leaver process.

Should we track accessories and peripherals?

Track items that are valuable, hold data or need security controls, such as laptops, phones and tablets. Low-value accessories can be counted in bulk instead of one by one.

Should personal devices used for work be tracked?

They are not company assets, so they don’t belong in the asset register. Their access to company data can still be managed through device management, as our mobile device management guide explains.

How does asset tracking help security?

Devices you do not know about are hard to protect. A complete register shows which devices are missing updates or encryption, and which ones have not checked in for a while.

How do we find devices missing from the register?

Compare device management, sign-in and network records with the register. Anything that appears in those records but not in the register needs checking, then enrolling or removing.

How does asset tracking help with software licenses?

Knowing which devices and people you have is the base for matching licenses to real use. Our Track Software Licenses, Vendors and Renewals use case covers that side.

How does this help with laptop refresh planning?

With device age, condition and warranty dates in the register, you can see how many devices are due for replacement and plan the budget. Our Manage Business Laptops and PCs Across Their Lifecycle use case covers refresh and disposal.

Should asset labels or barcodes be used?

They help for devices that are hard to identify by name, such as spares, monitors and shared equipment. The label number goes in the register next to the serial number.

How long does it take to set up?

It depends on the number of devices and sites and on how complete your device management data is. A first register from existing tools can come first, with spares, stored devices and process changes added in stages.

Which platforms do you work with?

We work with Microsoft and Scalefusion as Technology Partners for device management. Our Manage Company Devices from One Central Platform use case covers enrolling and managing the devices themselves.

What happens in the IT Asset Review, and what does it need?

The IT Asset Review compares your asset records with what your device management tools and purchase records show, and checks what happens to leaver and spare devices. It needs your current asset register, read access to device management and recent device purchase records. We walk you through the findings on a call.
